How to renew your Indian passport in the UK?

If you are an Indian living in the UK and your Indian passport expired recently (within the last year) or is due to expire within a year, or you lost it or need a change of personal details, you’d need to get a new Indian passport issued whilst in the UK.

In this guide, I will show you the detailed steps on how to apply for Indian passport renewal in the UK.

The process includes the exact steps we followed to apply for renewing my wife’s Indian passport that was due to expire in a month.

This is a detailed guide to walk you through the step-by-step process we followed that you could use to get a new passport booklet issued.

If your passport has already expired, there is a slight difference in the list of documents required that I will cover below – read on.

Before we get started, let’s get the terminologies right!

Indian Passport Renewal vs Re-issue


When your passport expires, the most logical term that comes to mind to get a new valid passport is to get it renewed.

Chances are – the google search that brought you here was “Indian passport renewal” and not “Indian passport re-issue.”

Technically, the term that applies when your passport has expired recently or is due to expire in the next year is a passport “re-issue.”

So what is the difference compared to a passport renewal – I will cover it briefly here.

As I mentioned, re-issue is when your passport is due to expire or has already expired after its original 10-year validity (or five years in case of children up to 15 years of age). You need a new Indian passport booklet issued.

If you had a passport with a validity of fewer than ten years, and you need to now extend its validity to up to 10 years, that is termed as a renewal.

In case of a renewal, the passport booklet remains the same with an added entry to extend its validity.

Now that you have a basic idea of India passport renewal vs re-issue let’s jump right in.

Applications for Indian passport re-issue in the UK need to be submitted in person (or by an immediate family member) at one of the Indian Visa & Consular Application Centres.

Fill Online Registration Form for Indian Passport Renewal

Starting 02 Jan 2018, handwritten application forms will no longer be accepted.

All applications for renewal of Indian passport must be accompanied by the printout of the online filled application form.

Here’s how you get it.

Step #1. Go to this link and click on the Online Registration Form button.

Note: If you fall under the jurisdiction of HCI London, CGI  Birmingham or CGI Edinburgh, you need to now use the new portal instead to fill in a print your application form online. Head over to this link and click on “Register to apply for Passport Services.” We will soon update this post with screenshots from the new portal. The steps/details below should help you in filling the form using the new portal. Any issues, please get in touch using the comments section below.

This will take you to Online NRI Passport Application Registration Form.

Step #2. Select the Indian Mission that’s nearest to you and Service Desired as “Re-issue of Passport.”

Fill in the rest of the form giving the applicant’s Surname and Given Name.

You also need to mention if you have ever changed your name. If you have, select the check-box and mention your previous name in the given field.

Save the Temporary Application ID shown on this screen. You will be able to return to your partially filled application using this ID, so it is very important to save it somewhere.

Once done, click “Save & Continue.”

Step #3. Fill in Applicant information and Address Details that you want printed on the new re-issued passport.

The address to be printed on passport has to be your current permanent address where you stay in the UK. This is the one that will be printed on your renewed passport.

Click “Save & Continue” to move to the next section, where you need to add other Address Details and Family Information.

Step #4. In this step, you need to provide details for other Address – this has to be your current address in India (I entered my parents’ address in India).

In the next step, enter the Applicant’s Family Information. Again, the details that need to be filled in are pretty straightforward.

Step #5. Enter your old Passport Details.

You can find all of these details on your old, most recent Indian passport.

File No. can be found on the last page of the passport. Click “Save & Continue.”

This is the last step of the application, and this is where you will get a prompt to click OK if you are ready to Finalise the application for submission.

Step #6. Click OK on the prompt to finalise the application.

This is where I would have expected a review application step to show where I could get a chance to review the details I entered.

Unfortunately, that didn’t happen. When I went to use the Temporary application ID I was given, I got an error saying, “Temporary Application Id does not exist, please ReEnter and Try Again.”

This is when I realised that the prompt was the last step to the submission.

If you enter any incorrect data and submit the final application at this step, you will need to register again with the correct details and start with Step 1 again.

Step #7. Check your email, and you should get an email confirming your application has been submitted.

“NRI Online Passport Registration WEB FILE No: GBRLPxxxxxxx Registered”

Step #8. Copy the Web File No. starting with GBRLP.

Go to this link and enter the Web File Number to print the Online Application Form for renewal of Indian passport online in the UK.

Luckily for me, all the details were fine, and I had no changes to make.

If you make a mistake and need to make amendments, the only way of doing it is to fill in a new application form.

So be careful while filling in the application in the first attempt to save time.

Book VFS appointment to renew expired Indian Passport in the UK

The process to book an appointment for the renewal of Indian passport at the VFS centre in the UK is similar to the one I mentioned in the Indian passport surrender guide.

Head over to the book an appointment section (opens in a new tab) and follow the step-by-step instructions.

In services, select “Indian Passport.”

Once you have scheduled the appointment, come back here to proceed further.

Documents required for Indian passport renewal in UK

Here is the list of documents you need to submit to the VFS appointment centre.

  • Printed and signed application form – that you filled above
  • Declaration form – download here
  • Annexure E – download here
  • Police Verification Form – download here (for minors, this form is required for both parents along with one for the minor applicant)
  • Appointment Confirmation Printout
  • Four recent 50mm x 50mm size photographs.
  • Original Indian Passport
  • Self-attested copies of passport – bio (photo) page and last (address) page
  • Residence permit
  • Declaration of change of appearance – download here (for children under 16 – minors)
  • Annexure D – download here (for minor applicants – consent of both parents)
  • Two A4 sized self-addressed return envelope (Royal Mail Special Delivery) for the return of original documents and new and cancelled passports.

All originals above need to be accompanied by a self-attested copy each.

Additional Documents:

Marriage Certificate and Spouse’s passport: If you want the applicant’s spouse’s name endorsed on the re-issued passport, include self-attested photocopies of the marriage certificate and Passport of the applicant’s spouse along with the original Passport & marriage certificate.

Utility bill, recent bank statement, or property papers in the UK: if you want your UK address to be added to the new passport. For UK address to be included, your residency status in the UK has to be permanent (ILR). If not, you can only change to a new Indian address or leave it as is.

Authorisation Letter: If the applicant is unable to visit VFS in person to submit the passport renewal application, a close family member can do it with an authorisation letter along with their original passport or photo ID card and a document showing the relationship.

Indian Passport Renewal Fees in the UK

The total application fee for renewing your Indian passport in the UK up to one year before/after expiry is £67.88.

Here’s the split.

Fees for ordinary (36-page) passport – £57.00

VFS Service charge – £7.44

Consular Surcharge – £2.00

SMS/Text messaging Service – £1.44

You can opt to pay by Cash, Debit Card or Demand Draft/Postal Order payable to ‘VF SERVICES UK LTD.’

Please note VFS no longer accept Credit Cards.

If you want to apply for the Tatkal service, you will have to pay an additional £110.

These are the fees for reissuing your passport if it has expired within a year or if it is due to expire in the next year.

If your passport expired more than a year ago, or if the changes you need in your passport relate to change of name etc, you’ll be required to pay for affidavit service additionally.

How long does it take to renew Indian passport in the UK?

Reissuing a new passport booklet that’s recently expired or is about to expire will be delivered to you ideally within 10-15 working days. If details need to be verified, it could take as long as 6 weeks.

But how long the renewal takes really depends on your circumstances.

In our case, the original documents were returned after 3 working days of submitting the application at VFS.

The new re-issued Indian passport booklet along with the cancelled old Indian passport followed 8 working days later.

If you want your passport to be re-issued in an emergency situation, VFS advises going to HCI for same-day service.

How to get your originals back?

All Originals will be returned to you within 10 working days by Royal Mail Special Delivery if you provided during submitting the application. If not, you can also choose to use the DX courier service offered by VFS.

  1. Hi Aman, thank you for the detailed procedure. It helped my application on 11th April 2022. Couple of things to add:
    Marriage Certificate and Spouse’s passport: If you want the applicant’s spouse’s name endorsed on the re-issued passport, include self-attested photocopies of the marriage certificate and Passport of the applicant’s spouse along with the original Passport & marriage certificate.
    ‘The copy will need to be attested by applicant and spouse along with a letter addressed by spouse to the consulate General of India that he/she is ok for his/her name to be added in the applicants passport as a spouse.’

  2. Hi Aman,

    Just wanted to thank you for this post. It was extremely helpful and I managed to get my passport renewed without any hassle. I also wanted to share a couple of potential updates:

    1. It would help if applicants look at the VFS website to understand photo requirements. My photo was rejected as I was seated too far away from the camera and had some headspace that couldn’t be cropped. They had to click one for me at the VFS centre (which cost £10).
    2. When availing of the Tatkal option, applicants must be prepared to write a couple of points justifying the need for Tatkal in a letter that will go to the High Commission. I’m not sure if this is a Covid-era update and might be scrapped in the future.
    3. They no longer need 2 Royal Mail Special Delivery envelopes, they just use one.
    4. I was told to update my references to both be Indian. This is slightly different from one of your suggestions where you said we should go for one Indian and one UK reference.
    5. Lastly, there’s one other form that they ask you to fill in case you’ve grown a beard or look different, etc. I found this hilarious but it is a form that must be filled nonetheless and a nice way to end the process.

    All in all, had it not been for my photos, I would’ve been in and out in a grand total of 15 mins.

          1. Do I have to submit the original form or a photocopy is allowed?
            [Aman] You need to submit the original itself as you only need to download the form, print it and fill in your details along with two references’ details. Your relative(s) don’t need to fill it. You’re providing their information just in case the Indian Passport Office needs to verify any information.
          2. The PPF asks about two addresses in the last year and I’ve been in the UK for 2.5 years, do I have to mention my British addresses on that section?
            [Aman] When we did ours (for my wife), I remember using one reference address in India and one in the UK – it went fine. But, I have been recently hearing from other readers here that VFS asked them to fill both as Indian references. So I recommend you do that please.
          3. Will my relative in India have to courier the original form to me so that I can submit it to VFS?
            [Aman] No, the answer to your first query should have answered this one. You only need to submit the form with the information of references on there. That’s about it.

    That’s the correct email address but it might take a while before you hear back as other readers have faced delays.

    I understand it should be fine to book an appointment at any available centres as I found the confirmation in small print (updated on 19 Jul 2021 here) in one of the OCI documents on the VFS sites so I would think that should hold true for other appointments too.

    Here’s what it says for your quick reference:

    “For the help of our diaspora, applications for any service can be accepted at any place, i.e., London, Birmingham and Edinburgh. So wherever you get an appointment, please go ahead and submit your application as per your convenience and choice, provided that application is registered and filled up for that particular jurisdiction/center e.g. GBRL registration is for London and will be accepted only in London, GBRB for Birmingham and GBRE for Edinburgh.”

  4. Hi, Thanks for the details provided here. I have a very poor experience at Indian VFS in Birmingham.
    They wanted me to fill change of appearance form. When asked they told me that it is for everyone to fill. Even though no change in appearance, this needs to be filled.
    Made me take another set of photos with their own machine. Which was not working fine, I lost 10£ for incorrect pictures printed. In-fact most of the people who took the photos at the counter faced similar issues. They kept 4 new photos and the photo which I had struck in police verification form. Returned the main application photo. So they kept 5 photos.
    Also, they wanted any 1 Indian Address, although I said, I don’t have any.
    Another update, I royal-mail envelope returned at counter. They said, they don’t want any original documents. Strange, but it seems a good move.
    Anyways, I am happy I wouldn’t have to go back there with another appointment.

    application last March 2020 via Passport Seva portal and still have not been able to book an online appointment.

Unfortunately, getting is a real struggle right now which I think is due to the backlog due to Covid and no real information available if they plan to ramp up resources to clear it in the near future.         Really nice guide. I tried submitting the re-issue of passport request for my daughter (Indian citizen), but was unable to find any slot on next step, seems VFS has reduced the options for passport services or maybe loads of request in queue. One query, her passport is ending on 14th November this year and I am now planning to travel back to India by September end. If I don’t renew her passport, do you think it will be an issue? I am wondering as she is a citizen if those 6-month minimum validity rules apply to her for travel back home. I am trying to get an answer for this and have checked with few airlines, they felt it is not an issue, but don’t want to take any risk with immigration back home in case I am violating any rules. Any suggestion on this or with whom I can check this (minimum passport validity for citizens returning to India), would be grateful.

          Yeah, the slots are quite limited I understand from other readers here. It could be due to the huge backlog of applications due to Covid delays.

          Based on the information you’ve provided, here’s my take:

          1. If you’re coming back before the passport expires, it should be okay to travel on it and then apply for renewal from the UK.
          2. Or, if you are staying in India beyond the expiry date, you could apply for the renewal from India itself and then travel.

          The 6 months rule usually applies to when you’re applying for the UK visa; if you’ve already got it, you should be okay. I have assumed your daughter still has the required visa for travel to the UK.

          Just to add, I haven’t myself been in this situation (and I am not an immigration expert), but this is my logical interpretation of this scenario.

      50mm by 50mm or,
      5cm by 5cm or,
      2 inch by 2 inch 🙂

    1. Hi Vinny,

      When we tried to do this for my wife’s case, we were told the request for a UK address cannot be accepted unless you’ve got the UK permanent residency (ILR) and associated documents to prove it (BRP). By default, the passport is renewed using the Indian address that’s on your current passport or you can provide proofs for an alternate Indian address.

      Any of these would work for your current address proof in the UK.

      Also, I’d like to clarify that you can change the address on your renewed passport to your UK address after you get ILR here. That’s what we were told when my wife renewed her passport.

    Has anyone been able to get a VFS passport appointment recently ?
    Because of COVID restrictions, the appointment slots are limited and new slots are updated every Friday (exact time isnt mentioned).
    I have been trying for the past 2 weeks however keep getting the same message.
    My passport expires in Jan-2021 and I am starting to worry now a bit.

    Any suggestions with similar experience and best practices on how to proceed will be very helpful.

      London centres have been really busy and I’ve seen readers struggling for appointment slots for other services (OCI, Passport Surrender etc) as well – the messaging on the website still says “Sorry! All appointment are now booked. Due to social distancing, we have limited the number of appointments available. Appointments slots are updated every Friday, so please try again later.”

      I was just trying and there are appointments available for some centres up north but for London, unfortunately, the only option is to wait and keep trying. Maybe worth trying early hours on Friday 00.01 hours?

        The latest notification on the VFS website says the services have resumed starting 20 Oct so it must now be easier to book appointments – if you haven’t booked one already, you might want to give it a go now.

    I have recently reissued my Indian passport with this helpful information here. However, Now, I need to change my maiden name to married one on this reissued passport. Home office says all I have to do is submit my marriage certificate and apply. Do I have to go through this 👆 same Renewal procedure with the same fees applied, just to change my name?

      Unfortunately, yes. If you need to change the name after marriage, you’ll need to file a new application as the passport booklet will be reissued. As the main page and personal details page are laminated now, any change that goes on the passport needs to be a new application.

    My passport expires 03/21 but Applied for re issue on 24/08/20 and it’s 07/09 today still haven’t received any update. There was no address change but only addition of my wife name in passport was done.

    Checking my emails today and see an email for police verification initiated on 26/08/20 not sure whether this will delay my passport renewal issue or how long does this take. Any idea on what happens in this case and can I expect the passsport soon. Badly need to travel to India but now I cant as I don’t even have my old passport or not received new one.

    Four points which could help others –
    1. In ‘Other Address Details’ we need to fill in UK address for all Indian citizens. My first application was rejected by VFS when I filled in my Indian Address.
    2. In Personal Particulars Form (PPF), References should be given for Indian Address.
    3. The Four photographs were pasted on Application Form, PPF, Annexure-E & Declaration Forms

    You have mentioned to use for Online registration. However, VFS global says:
    Indian citizens living in the jurisdiction of HCI London, CGI, Birmingham and CGI, Edinburgh are requested to use the new portal henceforth for availing Passport Services to fill the online form. The already submitted online application form in will be processed through VFS Centres till 30 November 2018 only.
    Could you please confirm, where to submit online application ?

      The new portal needs to be used. I had added a Note to mention that and haven’t got around updating the post based on the new application portal as ours was on the old one.

      It has been on my todo list for quite a while but couldn’t get to do it; will try if I can still find the steps and screenshots – I’d really appreciate if anyone reading this and filing a new application could help in updating the new process.

          In addition to the mandatory documents listed, you’d need to provide proof of the new Indian address in the form of a recent utility bill or monthly bank statements, etc.

    At Step #2 you talk about choosing “re-issue” from the second drop down box. That’s no longer possible.

    The moment you choose UK-London in the first box , the whole page closes and you get redirected to a different location.

    Firstly, thank you very much for this guide. It was helpful to me in understanding the process.
    I have recently got my passport re-issued and wanted to highlight a few things, which were different.
    1) Applied on the new portal. Booked appointment at VFS Bradford center
    2) Took all documents as mentioned + copies+ 4 photos ( as per specs) but the PPF was not taken by the VFS and only 2 photos were used.
    3) Total charges were ~£80 including everthing (10 year validity 36 page pp + VFS Fee+ Courier+ tracking+ taxes)
    4) Payment was only thorugh debit card . It may be center specific. I carried cash as well.
    5) No spouse name addition was needed for me, still i had the marriage certificate etc. available.
    6) Bradford center only does DX Courier delivery. Again i think center specific.

    I hope it is useful for other applicants.

    I am really confused about the PPF Form, I am renewing my passport in India and have filled out the form, have booked an appointment and printed out all the necessary forms, however this is the first time I am seeing the PPF form and I have no idea how to fill it out-
    my question is:
    1) Do I need this form?
    2)If yes then where do I go to get the police verification?
    In my passport application I have put down my permanent address as my London address and my other is the address in India.
    3) Do I do the same (address wise) for the PPF?

      Yes, both parents’ original passports are required along with self-attested copies of Passport/Visa.

      No, if both parents cannot visit, you would need an authority/consent letter from the parent not appearing.

      1. You can leave the address as the Indian address (the same that the passport currently has). In this case, the other address can be your correspondence address in the UK.
      2. Yes, you need to select the relevant appointment type from the drop-down menu.
      3. Yes, PPF is a new addition to the list of mandatory documents which has been recently added (thanks for bringing it to my notice) and needs to be added for both parents and the minor applicant. And, Declaration of change of appearance is also required.

    I have got a separate case for you, other than the usual ones. I am staying in UK for work purpose and my Indian Passport is still valid for 5 years more. But somehow my passport got damaged (as stated by France Consulate while rejecting my Schengen VISA), as the MRZ area is not machine readable.

    Hence, I am planning to re-issue my Indian Passport from UK, so that I donʻt get such issues related to my Passport in future. Now as I can see you have mentioned in the article that the applicant has to enter the UK address in the ʻaddressʻ field in the application form and that only will get printed in the Passport, though I can mention my India Address in the ʻOther Addressʻ field in the application form which is of no use in my physical passport.

    As currently I have my India Address printed on my Passport and I want to keep it as it is in the re-issued passport as well. Now my questions are:
    1. Is it mandatory to enter UK address as the address to be printed on passport or I can enter my India Address as well?
    2. If I enter UK Address there and it gets printed on my passport what kind of impact will there be when I will return to India as the re-issued passport will get a completely new 10 yearʻs validity?

      No, you can leave it to your Indian address. As I have clarified further in the post that UK address is only printed once you have gained ILR in the UK, you can leave the Indian address as you have it now in which case you can simply mention your Indian address. If you want it changed to a different address in India, you would have to suffice proofs for the new address.

      • Yes, PPF needs to be added to all applications – that’s a fairly recent change.
      • Yes, if you don’t have ILR yet, that’s the correct understanding.
      • If you’re applying from the UK, the residing address would be your address in the UK where you stay.

  38. hello, aman , just done an application to renewal indian passport for my son inlaw online , on the new web , which you mentioned. followed your instructions , we had no problems . the only thing was , the file did not start with GBRB , it was ARN number , it submitted sucessfully, appointment made , and handed all documents , with hard copy of application . thats it , they said passport will arrive within 10 days . so thank you very much for your help , step by step / do you think you can help me now with oci, application . i did this for my self 3 years ago , it was straight forward . but now these signatures, copies of documents , and photos has to be down loaded at the time of application . is there an easy way , step by step , how to fill this application please . once again , thanks . or may be there is some one out there , reading our comments , who know , if they can help us

    My passport is expiring soon and I am trying to renew(still confused about renewal and re issue) it. I went to the London high commission website and registered.
    After logging in, there was no mention of a renew(just getting the expiry date extended).
    There was only an option for re issue or a fresh passport.
    I selected re issue and the type as expired within last 3 years/about to expire.
    Please advise if this is the right choice.
    I selected Tatkal option since I need to get the passport quickly before going back to home. Please advise if the Tatkal service is available in UK.
    Upon reaching the address page, the printable address info, the address on my current passport is an old address we used to stay on rent.
    The new permanent address is where my parents stay as well. What are the documents which qualify as my address proof. Would my election Id card be sufficient? Can I give my parents address proof? What would qualify as their address proof? Also, there was a text box to provide police station. Does it mean there will be verification?
    The last point is regarding original documents. The resident permit card, should we be submting the original or a copy of it.

  47. If your Indian passport needs renewal or you need to extend its validity, then it needs to be submitted in person at one of the Indian Visa & Consular Application Centres.

        This information is really useful particularly the focus section.

        I received my reissued as well as old passport on Day7 and it got approved in 6 days from Leicester (Birmingham).

        Few things probably need amendments I believe.
        The application should be via new website, not the old one you suggested.
        For Leicester, the only provide Dx service.
        They asked for only only passport, visa and 1 photo.

    Secondly If i want to add my Spouse name in my passport, will i get the new passport with an extended validity.

    And lastly, I have my UK bank statements as a proof of current address. But i no longer stay in my permanent address which is in India.What should i do in this case. Can i keep the permanent address same as in my passport (I have all my documents electoral ID, Aadhar, Passport with Indian address. Its just that i do not stay in that address anymore)

    1. Hi Fakhruddin,

      You do need your wife’s original passport with your renewal application if you need her name added to your passport. Please refer to the “Additional Documents” section in the post above.

      You can get it added later as well but as you are anyways renewing it, adding the name now is much simpler and straightforward. If that’s not an option for you (that is if she won’t be back before your passport expires), you can just renew yours for now and add the spouse name later but that would be another application.

    1. Hi,

      On your other comment, I assumed your name change query related to the UK passport so I pointed you to the comments on my other guide.

      I haven’t come across this situation myself as I didn’t have an idea to fix it at the stage of Indian passport renewal and rather had to fix it after getting the British Passport.

      The stage you are in, your next step some time would be to apply OCI as well maybe, so it’s the right thing to fix your name on your Indian passport itself. For that, I think mentioning your correct name on the form along with a written note explaining the change from the previous passport should suffice.

      In some cases, the embassy might want you to accompany a sworn affidavit as well. I hope this information helps; for more details, I would suggest to please call the VFS helpline and update here?

    But, you have mentioned the following in your list:

    2) Annexure E
    as a list of documents required, but no where in VFS website it is mentioned or available.

        1. Hello Sandeep, I am sorry to know about your situation. Have you heard anything on your file by now? If not, I would suggest calling the VFS helpline, please.

    2. Aman has deleted my comment I think. The process has changed as the application is no longer filled in on the VFS website. It is done on the Indian Govt website. Once that is done one has to get an appointment for submission of the docs via VFS. There was no payment made by me so I don’t know how it will work out on the day on my appointment on the 17th of Jan. The details put up here are very good and accurate, except for the fact the process changed from early December 2018.

    Thank you for the post! I am trying to start the process to reissue a passport, as my old one’s about to expire.
    I’ve trying to follow the guidelines in this post, however I’ve experienced some difficulty on the first step itself.
    When I go to fill the online NRI application form in the first step, and select the Indian mission as”UK London”, the page automatically redirects to this: “”, and I have to fill in application form from here. OK. I’ve done that and now i’m on the VFS website trying to book an appointment, where it’s asking me for the web file number(the one starting with GBRLP…), the thing is I haven’t got one. I downloaded my filled out application form, and it does not mention a web file number, nor have I gotten any email as you wrote in the instructions above. I am stuck in a deadlock here as neither the ‘Passport Seva at Indian Embassies and Consulates’ website nor the VFS website provide any help regarding the new application process.
    Any help or suggestion would be greatly appreciated!

        Please note the system has changed and the application form at now has to be filled in. VFS is now not doing the passport application, they are just receiving the documents. Please see the consulate website. The matter in the Annexure E has been included in the application form. There is no official list of supporting documents. I am still looking. I was not directed to any payment page. To get an appointment with VFS, I had to go through a link on the CGI Birmingham website which says Prior Appointment. Following that click Indian Passport and in the VAS Service select Indian Passport. There are instructions above that say fill the Application Form Number in place of the OCI Application number. My application number started 18-xxxxxxxxxxx. The VFS form objected to that so I dropped the 18-. Be careful with the date. It is MM-DD-YYYY format. I don’t think the VFS declaration form will be required but I will take it just in case. I presume the payment has to made at VFS office as I have an appointment letter. I will add as I go through the process. The VFS website says the Royal Mail service is not available and one has to use DX Courier.

          Can you please share the snippet from VFS website where it says they don’t accept Royal Mail anymore? As I understand, taking the prepaid Royal Mail envelopes is your choice and they cannot force you to pay £15 for the same service which you can avail for £7ish using Royal mail delivery 🙂

Do we have to prepay a certain amount towards each of the envelopes before submitting to the VFS? If so how much?     1. Hello Anisha,

      What I got is A4 sized pre-paid Special Delivery envelopes (silver ones) priced at £7.30 (that’s the price for any deliveries up to 500 gms which is more than enough for the return of your documents and new passport). You can also get away with getting a £6.50 one which can hold 100 gms of weight.

    My current passport was issued before marriage.
    In the application form for re-issuing the passport it is mandatory to fill spouse name if you are married.
    Query – Is it also mandatory to get spouse name endorsed on re-issued passport?
    To get spouse name endorsed, original marriage certificate is required.
    Could you please suggest if I can apply without marriage certificate and not get spouse name endorsed on new passport or it is mandatory to get spouse name endorsed?

      It’s not mandatory – Yes, you can skip adding your spouse’s name on the passport if you cannot support it with an original marriage certificate.

      As far as I am aware, that shouldn’t be a problem if they put your UK address on there.

      If that helps at all, in my wife’s case, they refused to do it for the same reason that she didn’t have the ILR yet.

  62. Hello Aman, I’m a student in Belfast . Followed your steps to the letter and got my passport renewed for the next 10 years, thanks so much! Will share this article as and when the need arises.

    PS. I previously had my surname blank (it was with my first name because the previous consultant made an error years ago), but there’s a new UK rule which states that the surname can’t be left blank so I got the error corrected after all these years without any extra paperwork, court order etc. A handy tips to your future readers.

      Regarding your blank surname on the Indian passport, you did the right thing! Thanks for sharing it here 🙂

      The UK rule is, if you have a blank surname on your native passport, they will mention your First name as the Surname on the UK passport and the First name will be XXX. As you have resolved this in the Indian passport itself, you are better off.

      In case anyone didn’t change on their Indian passport and now have XXX on their British Passport, I have addressed this query on one of the comments on my OCI guide.

  63. Hi Aman, very good post. Wish the vfs website was as clear and straightforward as your post! However, I got a question for you. I’m still on my Tier 2 visa and I have no home in India. I stay at a hotel if I visit India now. So what do I put in the address field? The address that’s currently in my passport, we have vacated it about 2 years ago. If I leave the same address, will they verify before granting me the new passport?

      Is there an option to provide the details for your parents or siblings, maybe?

      If not, you can leave it as the same address – I don’t think they verify the address if you plan to leave it the same as the last passport.

      The tatkal fee of £110 is in addition to the ordinary/jumbo passport fees. The only way to apply for renewal now is via VFS and they would handle the delivery of renewed passport to you by courier only – in-person pick-up is not an option.

    Myself is rahul and i wanted to ask you that i did made an appointment on 4th sep for the indian passport renewal in Manchester but i lived in London but as the dates in London goswell road and hounslow was too far..i choose Manchester to put my passport renewal(was a big mistake) but when i gone on 4th they said i cant submit my documents for the indian passport renewal then i gone back to the website and try to schedule my appointment but now i am getting an error message as INVALID ATTEMPT…i really dont know what to do now???PLZ HELP ME

      Sorry to know about your experience, mate!

      Yes, you can only book within your jurisdiction for any appointments with VFS.

      A similar thing happened with us for my wife’s appointment (within the jurisdiction, however – we wanted to change from Hounslow as the date was too far compared to Goswel which opened up a slot later, due to a cancellation maybe).

      But once the date is in the past it locks your slot for any changes to an appointment that’s already gone. I had to call the VFS helpline and was told to wait a few days (It was 72 hours if I remember correctly).

      So, I would suggest you to please wait and try again.

    And most importantly I would like to ask and if you could help, I would like to change my name as I am married. I am sure if I have filled my application correctly. I have filled my last name as married name and my maiden name in the previously known name filed. Hope this is correct?

    Thanks a lot for this guide. Really useful. I have one doubt however.
    There was a mistake found in my passport (which wasnt caught by me or any of the immigration officers since 2012!) when my company was applying for a temporary Singapore work permit. I am now applying for a new Indian passport and was wondering:
    The UK address can’t be added as I am not yet on the ILR but those are the only proofs I have. (London utility bills etc)
    I don’t have any proofs of residing in my parents house in Assam, India – they moved from Bangalore while I was abroad. Ideally I need to change the address as the Bangalore address is not valid anymore and they are not going to move back. I was wondering what kind of proof will be asked for? Parent’s Aadhar cards?
    When I asked the High Commission in London I just got bog standard – you can make both changes in one application.
    Any help would be really appreciated!

      Thanks for your comment.

      Here’s what I would do if I were in your situation.

      Provide your parent’s current address as the one you want to be printed on your new passport (support it with your parent’s docs showing the new Indian address).

      This is the reason behind my suggestion: For my wife’s application, we weren’t aware that the address cannot be updated until you hold ILR, hence the only proofs my wife was carrying were for UK bills. The Indian address on her old PP was from the days she rented a place. In this case, the new Indian address (my parent’s address) was added without any stringent proofs. However, all I can think of is, my old Indian passport had my parent’s address which could have acted as a proof…

      Mention your UK address in “Other address” section.

      I hope this should suffice for your case – any doubts please let me know and also, you could speak to VFS helpline in case they could provide a better solution. Kindly update here if they do 😉

      In case you haven’t already found an answer to your query, you do need to submit the original Indian passport as the old one would be cancelled when a new one is issued to you.

      One envelope is to return the supporting documents (originals) and the other one is to post the cancelled (old) passport AND the new passport.

    This page has been really helpful in getting my numerous forms filled up for the re-issue of my Indian passport. Just a quick question here, as I have never used a Pre-paid Special Delivery envelope before, is it easy enough to get it from Post Office? Do you need to update the counter person about recorded/tracking service for these envelopes? Whilst I add my address as the receiver on these envelopes, do I need to add the embassy address as sender? If so, what is the address for the embassy? Sorry for all these questions, just a little confused. Otherwise, all the other points are crystal clear. 🙂

      It’s pretty simple, ask for Special Delivery A4 sized (silver) envelope and pay £7.30 each. That’s about it.

      You only need to fill in the “To” section (your address as the receiver) and leave the “From” part blank – HCI will label it with their address.

    My partner has ILR do you know if his causes issues at UK customers? As I’m planning on completing biometric residence card as well but that looks confusing as well.

    The reason I ask is the ILR stamp in her original passport will be missing in the new passport. Does she have to carry both passports?

    1. Hi Patel, if you carry your old passport, shouldn’t have any issues. You don’t need to apply for BRP card again on renewing your Indian PP.

      For your case, you fall into is the same category as my wife did (just that your status is Settlement – ILR) – “Re-issue of Passport on expiry or up to one year before expiry (having a valid Visa)”

      Now, ILR is your valid visa in the UK and all you need to do is provide your BRP card as proof to support your ILR status and follow the exact document set on this post 😉

    It’s a very good detailed guide and very useful as when we had gone for my husbands OCI card it was very frustrating as they asked for a letter from his employer detailing his job, salary etc which wasn’t part of the documents list and we had to request them to email it ASAP or it would’ve been a wasted trip to London.

    I had a question, as I need to get my passport renewed but would like to know regarding permanent address in the passport. As I currently don’t have ILR do I need to provide evidence of my current Indian permanent address in my application e.g. utility bills or bank statements for the address currently in my passport, or is that not required as it’s already in the passport?

      Re: your query, if you don’t have ILR yet and want to keep the same Indian address in your old passport you don’t need to provide any new proofs.

      It was the same case for my wife (where we didn’t know you had to be ILR to be able to your address to a UK one – VFS didn’t clarify it on the guide!) and the VFS officer didn’t take the UK address proofs and didn’t ask for any new one if we wanted to keep the same address. If you want to change it to a new Indian address, you can provide a proof and mention THIS new Indian address on the application.

      I am not entirely sure about this. However, the Passport services applications are no longer directly submitted to the consulate – you can do it via VFS only. And for me, whether you do it in VFS Leicester centre or at one of their London centres, they will post it to the consulate for processing. How I understand it, it wouldn’t make a real difference.

      But, please feel free to call the VFS helpline to confirm. If you do, and if you could spare a few secs, please update here what they say 😉

    It would be really great if sending by post and not having to go to London works. Oh God! Just thinking of those queues, early morning bus journey and unhelpful and frustrated staff member itself makes me not want to do it in-person.

      The passport services applications (for re-issue and renewal) can only be done in person at the nearest VFS centre. The High Commission of India doesn’t take any direct application now and you don’t need to visit London – queuing up was indeed a hassle.

      The VFS experience is much better compared to the direct submission – book a prior appointment at your nearest centre and you don’t have to line up in any queues 🙂

    Thanks for this detailed post. I am in the process of getting a new passport as mine expires in April 2019 ( I have also run of out pages in my current passport and travel regularly). Not sure if you could answer this but still thought worth asking – I have a schengen visa in my current passport which expires in October 2018. If I get my passport re-issued would the visa in the old passport be still valid? I have seen a number of Indians with 2-3 passports that are stuck to each other and thought whether visas in old passports are ok to use given they are still valid. Just want to understand so I am prepared to apply for a new schengen in time for travelling. Thanks!

      Great to know that you are into travelling and have used up all your passport pages – I am working towards it as well 😛

      Your Schengen Visa is still valid until October 2018 – you need to carry your old expired (cancelled) passport along with your new passport booklet and there shouldn’t be a problem.

      This is what my understanding was and I have validated it on a few online forums and this is a shared understanding of this scenario! 🙂

    – I work on an WP UK.
    -Last year my passport got nicked in Paris ( sort of my fault) and i got a passport from the Paris embassy but they only provided with 2 years validity.
    -In the next few months i would be applying for my visa extension and as such need teh passport with a long validity (preferably the full 10 years).

  96. I have followed the steps as stated however when I printed off my completed application two additional pages were also generated!
    Are these two additional pages for a new/first passport application??
    I am making an application to have my expired passport reissued (less than a year).
    Do I need to complete the two additional pages or parts of as some sections refer to minors?
    If so would it be acceptable to complete the relevant sections by hand as these additional pages did not display during the initial online application process preventing form entering any relevant details?
    I do not wish to have a wasted journey therefore any light you can shine shall be most appreciated.
    Would you recommend using Royal Mail or the VFS courier service DFX?
    Any idea what DFX charge?

      First of all, my apologies for the delay in replying to your query…

      I do understand some sections that come out in the print aren’t asked when filling the application online. It was a bit confusing for me as well.

      You need to fill the additional page by hand (fields that apply to your case!)

      I recommend using Royal Mail as it’s cheaper (£7.30) and reliable. Your need 1 envelope per application.

      Update: my apologies, the requirement is for 2 per application (it was a typo here – what it says on the article is correct)

      DFX charge £15 per application.

VFS site also mentions 2 envelope, would you kindly clarify what is the need of 2 because 2 RM Special Delivery cost will be around £14 then, same as DX!? I was only expecting the new passport to be returned, all other documents are photocopies.

          My bad there!

          The requirement is for 2 enveloped PER application. I wrote 1 as I confused the comment to be on my “Surrender Indian Passport” application for which the requirement is ONE.

          Two are required as the new passport and the old passport will be returned in one envelope AND the supporting document originals will come separately. If you have only photocopies, please check with the VFS helpline once as to what they suggest. Please also update here if you can. 🙂

          If you use DX as I understand, you will end up paying £30ish while with Royal mail special delivery you will pay £14.60.

            As we did not have any other original documents other than passport, VFS needed only one Royalmail special delivery return envelope. Also although I had 4 passport photos, VFS returned 2 passport photos back at the time of submission, taking only 2 – one glued to application and one more extra.

            Submitted application on 28th may 2018 at Manchester and got the new passport delivered through Royalmail today – 14/6.

      4. The name on your UK BRP will be the same as it is on your UK passport. If you fix it on your Indian passport, I reckon you would have to inform UK Home Office of this change. But again, I suggest you confirm with Home Office once, please.

        After doing a bit of research on your query about what happens to the existing Visa on the old passport, this is what I found.

        The Visa on your old cancelled passport is still valid as long as you are travelling within the expiry period. Make sure you are carrying both your old and the new passport.

      On the post, I have already mentioned the difference between re-issue and renewal. But whenever it comes to getting the changes done to a passport, the term commonly used is renewal hence, at some places on this post you do find me mentioning “renewal” 🙂

      Technically, this post is about the re-issue process where you need to extend an expired passport (or make a change to name, add spouse name etc) and get a new passport booklet.

    Just one question that I have is, I am not a permanent resident in the UK yet (no ILR) so in the current address details which address do I enter? Would it be the current address I am living in the UK or my permanent Indian address?
    If I enter my permanent Indian address where would the re issued passport will be delivered?

    The reason for the above question is because you stated in Step #3 to enter
    “the Address Details that you want to be printed on the new re-issued passport.
    Address to be printed on passport has to be your current permanent address where you stay in the UK. This is the one that will be printed on your renewed passport.”

    But you also mentioned the following in the documents required section
    “Utility bill, recent bank statement, or property papers in the UK: if you want your UK address to be added to the new passport. For UK address to be included, your residency status in the UK has to be permanent (ILR). If not, you can only change to a new Indian address or leave it as is.”

    So I am a bit confused now regarding the address details

      Thanks for the kind words – glad that you found this helpful!

      If you are not an ILR yet, you can leave the address as it is (Indian address). For my wife, we wanted to change it to the UK address but were advised at the counter that it can only happen after getting ILR.

      Don’t worry – the passport will still be delivered to your address in the UK. It’s just that: because you are not a British Citizen, Indian Passport Office cannot have any address outside India on the passport.

      I will make it more clear on the first point on the article as well 🙂

If the address you want to keep is the same as the old passport, you don’t need to provide any new documents. If the address is changing, you need to provide supporting documents to prove it (utility bills, bank statements etc.)

          In this case, the other address can be your address in the UK. This I understand is only for the Indian PP office’s record as the address that would be printed on your new passport is the one that you provide in “Address to be printed…”

        This was my question too.. However when you say “you can leave the address as it is”, does that mean I write my address (indian) in the space you have shown? Or is there an option i have to select which reads like “Retain adress from old passport”?

        Also, If i were to retain Indian Address

        1) Is there a change in documents? i.e. should i be showing things like aadhar and PAN card?
        2) Where do I give the address to which my Passport has to be delivered?

          That means you can leave it as the one you had on your old passport (add it again in the form). If you want it to be changed to a new address in India, you would need to provide address proofs as I have listed.

          For delivery address, if you are applying for a renewal in the UK, provide a UK address, please.

  100. This was really helpful. thanks a lot! My current passport expires in July 2019 but i may need to request for a new one as my current passport is nearly full of immigration stamps. How many months before the date of expiry of my current passport can i apply for a re-issue? Or can i just apply for a re-issue given that my current passport is nearly full?
